Church Administrative Assistant Job Description
Position Overview: First Baptist Church Tillsonburg is seeking a dedicated and organized individual to join our team as a Church Administrative Assistant. This position plays a crucial role in supporting the administrative functions of our church and assisting with various tasks to ensure smooth operations. The ideal candidate should have basic computer skills, bookkeeping knowledge, and communication skills to carry out their responsibilities.
Responsibilities include:

Administrative Support
-
Provide general administrative support to the church staff and ministry teams (i.e.preparing reports, photocopying curriculum materials, maintaining the church directory, etc.).

Assist with scheduling appointments, managing calendars, and maintaining church records.

Handle incoming and outgoing correspondence, emails, and phone calls.

Draft, format, and proofread documents, reports, and other materials.

Bookkeeping Support

Maintain financial records and assist with basic bookkeeping tasks.

Process invoices, reimbursements, and payments using church financial software.

Input donation records and produce year-end income tax receipts.

Tech Support:

Proficiently operate and maintain computer systems, including Microsoft Office Suite (Word, Excel, PowerPoint, and Outlook).

Troubleshoot and provide basic technical support for office equipment, including computers, printers, and audio-visual systems.

Assist with managing the church website, electronic sign, and social media platforms.

Assist with the production of the weekly livestream ministry and in-person Sunday services.

Coordinate with external vendors for IT support, as needed.

Communication and Collaboration:

Interact with church members, volunteers, and visitors in a professional and courteous manner.

Prepare and produce the weekly email messenger.

Assist with organizing and preparing materials for church meetings, events, and special
programs. -
Conduct internet research, gather relevant information, and summarize findings as needed.

Collaborate with other staff members to ensure efficient workflow and effective communication.

Qualifications:
-
High school diploma or equivalent; additional relevant certifications or coursework is a plus.

Previous experience in administrative roles or office management is preferred.

Strong organizational and time management skills with exceptional attention to detail.

Proficient in basic computer skills, including Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).

Familiarity with basic bookkeeping principles and experience using financial software.

Comfortable with basic tech skills, including troubleshooting computer and office equipment issues.

Excellent verbal and written communication skills.

Ability to work independently and collaboratively as part of a team.

Ability to maintain a high level of professionalism, confidentiality, and discretion.
Details:

The Church Administrative Assistant will report directly to the Lead Pastor.
-
This is a part-time position (10-15 hrs/wk) with set office hours to be determined.

This position will include some flex hours for special events or meetings that take place on weekends and evenings.

The starting wage is $25/hr.
